Refund, Cancellation, and Deferral Policy

At Uptrail, we are committed to delivering structured, high quality learning programmes designed to support early career professionals in building practical, job relevant skills. We also value transparency, fairness, and clear communication in all our policies.

By enrolling in any of our programmes, you agree to the following terms regarding refunds, cancellations, and deferrals.

1. Refund Eligibility and Conditions

We understand that circumstances may change, and we aim to accommodate reasonable requests within a defined framework. A refund may be considered only under the following conditions:

  • The refund request is submitted within 48 hours of making payment.

  • The participant has not yet been granted access to any of the following:

    • Private learning community (e.g. Discord)

    • Live or recorded sessions

    • Project briefs, assignments, templates, or any course material

If both conditions are met, the participant may be eligible for a full refund, minus any transaction processing charges (typically 2–3% depending on the payment provider).

To request a refund, please email contact@uptrail.co.uk with your:

  • Full name

  • Email used for registration

  • Payment reference or confirmation

  • Reason for requesting the refund

Refunds are processed to the original payment method and typically take 5–10 UK business days.

2. Non-Refundable Situations

Once a participant has been granted access to any part of the programme (including the Discord server, learning content, or live sessions), the administrative fee becomes non-refundable. This applies in the following scenarios:

  • You have attended or viewed any portion of a live or recorded session

  • You have accessed any programme resources, assignments, or templates

  • You have been added to the learning community (e.g. Discord)

  • You decide not to continue partway through the programme

  • You experience scheduling conflicts or other personal commitments

  • You change your mind about participating

  • You enrolled in error or intended to join a different programme

  • You are removed from the programme due to violation of our Code of Conduct or academic dishonesty

We are unable to offer partial refunds for incomplete participation, missed sessions, or delayed submissions.

3. Programme Deferral (One-Time Only)

We recognise that life events or scheduling issues may impact your ability to participate in the programme after confirming your place. In such cases, we offer a one-time deferral to a future cohort, provided:

  • You make the request at least 48 hours before the first live session

  • You have not accessed any programme materials or community platforms

  • Deferrals are requested via email to support@uptrail.co.uk

Deferrals are subject to availability and must be used within 3 months of the original start date. Once deferred, no refunds will be granted, even if the participant is unable to join the new cohort.

4. Transfers and Substitutions

Your programme registration is non-transferable. Once payment is made, your place cannot be transferred to another individual.

5. Issues with Access or Technology

We are committed to helping all participants access the programme without difficulty. If you face technical issues (e.g. login problems, difficulty accessing content), we encourage you to contact our support team at support@uptrail.co.uk immediately.

Please note:

  • Refunds are not issued for technical issues unless we are unable to resolve them within a reasonable timeframe (typically 3 business days).

  • It is the participant’s responsibility to ensure they have a stable internet connection, a working device, and the ability to access common platforms like Zoom and Discord.

6. Programme Cancellation or Rescheduling (By Us)

In the rare event that we need to cancel or postpone a programme (e.g. due to low enrolment, staffing, or technical reasons), we will provide all registered participants with one of the following options:

  • A full refund

  • A deferral to the next available cohort, at no additional cost

Participants will be informed as early as possible, and no further compensation or damages will be offered beyond the refund or deferral.

7. Disputes and Chargebacks

Before initiating a chargeback or dispute with your bank, we kindly request that you contact our team to attempt a resolution. Filing an unsubstantiated chargeback after accessing our programme materials or joining the community may be treated as a breach of our terms.

We reserve the right to contest chargebacks where service has been rendered.
